Privacy Policy
Your family's information stays private. This page explains what we collect, why, and who can see it.
What we collect
- When you contact us: your name, whether you're a parent or a provider, email, phone number, state, and your message.
- When you book: your name, email, and payment confirmation. Stripe handles your card. We never see or store your full card number.
- During care: information about your child that you or, with your permission, your child's providers share with us. This includes intake forms, referrals, the evaluation, session notes, progress updates, and how many sessions you've used.
- When you visit our website: basic usage data, such as pages viewed, device and browser type, general location (city level), and which buttons and links were used.
How we use it
- To reply to you, schedule sessions, and provide occupational therapy.
- To send receipts, intake forms, reminders, and updates about your child's care.
- To understand how our website is used so we can improve it.
We only use your email and phone number for communication between you and Alongside OT. We don't send newsletters or marketing unless you ask for them.
Who we share it with
We don't sell or rent your information, and we don't use it for advertising. We share it only in these cases:
- Your child's other providers or school, with your permission. For example, we may send the evaluation report, progress updates, and transition summary to the OT practice where your child is waitlisted, your child's pediatrician, or your child's school, so care carries over smoothly.
- Service providers that run our business, such as Google Workspace (email, files, and scheduling), Stripe (payments), our secure clinical records and video platforms, and Cloudflare (website hosting). They may only use your information to provide their service to us.
- When the law requires it, such as a court order or to protect a child's safety.
How we protect it
- We use Google Workspace under a signed HIPAA Business Associate Agreement. Messages from our contact form, our email, and our files are stored there.
- Clinical records are kept in a secure system built for healthcare providers.
- Access is limited to the people who need it to care for your child, and our accounts use two-step verification.
- Our website uses encryption (HTTPS) for everything you send us.
- Telehealth sessions take place on a secure video platform. We do not record sessions.
Website analytics and cookies
We use Google Analytics and Google Tag Manager to see how our website is used, such as page views, package checkout clicks, contact form submissions, and clicks on our phone and email links. These tools use cookies to count visits.
- We never send your name, email, phone number, messages, or any health information to Google Analytics.
- Google's advertising features (Google signals and ad personalization) are turned off.
- You can block analytics with your browser's privacy settings or Google's opt-out add-on. The site works the same either way.
Children's privacy
Our website is meant for parents and guardians. We don't knowingly collect information online directly from children under 13. Information about your child comes from you or, with your permission, from your child's providers.
How long we keep it
Clinical records are kept for as long as New York or California law requires. Contact form messages that don't lead to services are deleted within two years.
Your choices
You can ask us to:
- Send you a copy of the information we have about you or your child.
- Correct anything that's wrong.
- Delete your information, except records the law requires us to keep.
- Stop contacting you.
Email hello@alongsideot.com and we'll respond within 30 days.
Changes to this policy
If we change this policy, we'll update this page and the date below. If a change affects how we use your child's information, we'll tell you directly.
